Stakeholder Interaction/Engagement 

Hi,

I am working on a project where we have developed a web application that will potentially be used enterprise wide.  It's essentially a report repository that provides a number of feature sets that allow for search, browse, utilization, metadata, etc functions.  We are rolling this tool out as a pilot approach with one specific group.

The issue I am facing is that the key stakeholder (and as a result, the remainder of the stakeholders) from that group are not actively engaging us.  My management team does not want to use a pull approach with them where we are essentially driving the development of this tool.  They want the group owner & team to be actively engaged in the decision making as well as the solutioning of future enhancements.

I set up meetings and they don't show up.  I send emails and they don't show up.  It's a bit political so I have to be careful in how I approach this.  I don't know what's going on upstream, but I'm assuming that my management team does not want to take this further upstream either.

How can I help facilitate the development of this tool?  How can I engage them without coming on too strong or too soft?  How can I not involve management and still get this done?

Any and all thoughts are appreciated :)

This is a typical problem business analysts have to face.

Before we try to address this issue try to answer to the following questions.

By analysis these answerers you will be able to figure out an answer to the issue.

1.      

Why 1) Is this tool (Requirement) needed, How is the requirement align to the business needs of the company

a)      Yes It is aligned to the business needs / Business objectives of the company

b)      No It is not aligned to the business needs / Business Objectives of the company

 

2.       2) If it is aligned to the business needs / business objectives

 

a.       Who is responsible for those business needs and objectives (Designation)

(Select the most senior)    CEO/CMO/CCO/CFO     Sales manage etc

...................................................................

 

b.      Is the person responsible for the business needs / objective the sponsor of this project

                                                            a)      Yes

                                                            b)      No

 

c.       If No Who is the sponsor of this project (Designation)

CFO / CTO / IT Manager / BA / Architect etc

 …………………………………………………………….

               

d.      Is the sponsor’s rank is higher or lower than these stakeholders             

                                                            a)      Higher

                                                            b)      Same level

                                                             c)      Lower

 

e.      What is the relationship of the sponsor with these stakeholders

                                                            a)      Good

                                                            b)      Not very good

 

f.        How committed the sponsor to this project

                                                            a)      Very committed

                                                            b)      Not committed

 

3.       3) If it is not aligned to the business needs it would be very hard to push it through

Looks like it is someone’s pet project and would be very hard to push it through
